Essential Considerations


What does the Calendar (Private Beta) entail?


The ability to round-robin appointments between different group of agents is the main highlight of this update. For when you sign-up, we give you the option to choose one or more of your current locations that you wish to test this feature in. Please note that we are taking in a limited number of agencies for the 1st batch of Private Beta, but it'll be available to everyone soon after.


What will the onboarding entail?


Once we receive your expression of interest, we will create a spot for you in the weeks ahead. This will be communicated to you over email with an invitation link. You would need then book an appointment with our implementation experts who would walk you through the set-up and ensure you have a seamless transition.


What changes does the new version of the Calendar come with?


  • Conversations > Schedule Appointment (New)
    • Ability to allocate appointments in round robin
    • Ability to choose a specific user the appointment to be booked with
  • Opportunity > Add Appointment (New)
    • Ability to allocate appointments in round robin
    • Ability to choose a specific user the appointment to be booked with
    • Users on the new version will lose the ability to ‘view/edit’’ Appointments (created on the previous version) through the Opportunity Details modal- but they can continue to perform all those actions on the Appointments page
  • Scheduling > Calendar/Appointments (New Filters + Toggle to switch between new and old appointments)
    • Toggle Off (New Version)
      1. Admin - Ability to view all User’s Calendar Appointments
      2. Non-admin - Ability to only view their personal appointments (Assigned data/ Calendar mapping Under TEAM MANAGEMENT has no impact)
    • Toggle On (Old Version)
      1. Admin - Ability to see every User’s Calendar Appointments
      2. Non-admin - Ability to only view their personal appointments
  • Contact Detail > Appointments (New)
    • Ability to allocate appointments in round robin
    • Ability to choose a specific user the appointment to be booked with
    • Old Appointments will be displayed alongside the New Appointments in the same appointments list
  • Funnels/Websites > Calendar (New)
    • Only New Calendar Widget can be added
  • Settings > Calendar (Beta)
    • Provides for all options (Teams + Services) necessary to configure the new calendar
  • Integration (New)
    • Admins can see all integrations irrespective of who created them but Users can see integrations that they created for themselves
    • Admins can delete any integrations they want, but Users can only remove their own
    • Re-integrating all connections may be required once the Calendar Beta is enabled for a location
  • Profile Page for Admin (New)
    • Surfacing it for the first time
  • Team Management (Available to Admins only)
    • Ability to choose Google Calendars to ‘Add to’ + ‘Conflict’ Calendars to check to compute availability for every user
  • Profile Page (All Users)
    • Ability to choose Google Calendars to ‘Add to’ + ‘Conflict’ Calendars to check to compute availability for every user
  • Triggers
    • The New and Old triggers will co-exist
    • While on the call, we’ll help reorient the triggers to suit the new calendar configuration

What happens to our old appointments after the transition?


The old appointments can well be viewed on the appointments page via a toggle switch.


Will our old Calendar URLs continue to work after the transition?


Yes. In fact the old settings page will continue to exist and so is your ability to make any changes there. The old calendar widget and the new calendar widget will function independently yet be in constant sync with each other to ensure accurate computation of your availability across the two systems. To avoid confusion, we would highly encourage you to use the new URLs wherever possible, so that you are burdened to monitor two separate URLs for same sets of users.


Will the old appointments be factored in when computing availability for the fresh appointments?


Yes, since there is one-way sync on, the google calendar will ensure that unavailable slots are blocked out.


Will we get to use the new version on Mobile during beta?


Not at the moment. But we are trying hard to bring it to mobile as soon as possible.
