How Keepful turned a simple bookkeeping tool built with HighLevel into an $800K SaaS empowering financial pros

A former teacher built one of the fastest-growing SaaS platforms for bookkeepers using HighLevel and discovered freedom, faith and financial growth along the way.

Heidi Ryder didn’t set out to run a SaaS company.

She just wanted to stay home with her newborn and still contribute financially.

“I was a math teacher outside Atlanta,” she recalls. “But when I got pregnant, I knew I didn’t want to drop my baby off at daycare. I started searching for a way to work from home.”

That search led her to bookkeeping. Within six months, she had replaced her teacher’s salary. And within a year, she was managing not one, but two businesses… her own bookkeeping firm and a new software venture built with HighLevel that would eventually become Keepful.

From side project to SaaS startup

At the time, Heidi worked for Ben Robinson, founder of Bookkeepers.com. Together, they noticed a painful pattern.

“Great bookkeepers are usually not great marketers,” Heidi explains. “They’d rather do anything else than follow up with leads or write about themselves.”

That insight sparked the idea to help bookkeepers not only run their business, but to grow and build their businesses.

When Ben’s original tech partner stepped away, Heidi, who had zero software background, stepped in.

“I was voluntold,” she laughs. “I didn’t even know what HighLevel was at the time.”

But she learned fast.

The leap that changed everything

Keepful launched in 2022 to a small beta group of 20 bookkeepers.

From day one, Keepful ran on HighLevel. That decision became the foundation of Keepful’s growth and gave Heidi the infrastructure to deliver premium service with a small team, while still scaling profitably.

Within months of launch, their client list grew to more than 100. By 2024, Heidi was running the entire operation. Product support. Sales. Onboarding. Marketing.

Then came the ultimate leap…

“One day I thought, what if I just bought it?”

Ben said no at first… then called back an hour later to talk numbers. That conversation changed everything.

In May 2024, Heidi officially acquired Keepful, the very company she helped build from the ground up.

By the numbers: From 80 clients to $800K+ in just 3 years

Under Heidi’s leadership, Keepful has scaled from roughly 80 clients in 2022 to over 225 active, paying members in 2025, generating more than $30,000 in monthly recurring revenue.

The growth has been steady and faith-fueled:

  • 2023: $269,712 in total revenue

  • 2024: $326,486 in total revenue

  • 2025 (so far): $259,006 and counting

Across three short years, that adds up to over $850,000 in total revenue, with 40–50% profit margins and a lean, two-woman team running the entire operation.

Keepful now offers three membership levels designed to meet bookkeepers where they are:

  • Concierge ($297/mo): done-for-you automations, custom setups, 1-1 support

  • Core ($147/mo): full software access and group support

  • SavvySites ($57/mo): beautiful websites for bookkeepers

But the real win? Heidi built it all while homeschooling four kids and keeping her faith at the center of every decision.

Why bookkeepers love Keepful

Keepful’s edge isn’t just automation. It’s empathy

.

“Bookkeepers are introverts,” Heidi says. “They hate following up, but that’s where the money is. So Keepful automates it for them.”

The platform gives financial pros a polished online presence, client nurturing workflows and plug-and-play systems that eliminate the overwhelm of starting from scratch.

“Our tagline is basically: you never have to start from scratch again.”

Five lessons from Keepful’s successful rise with HighLevel

Here are Heidi’s biggest takeaways from Keepful’s success story:

Perseverance beats perfection

“I didn’t know what I was doing. I just learned one thing at a time and kept going.”

Own your niche

“You can’t serve everyone. When you speak directly to one audience, everything clicks.”

Support is your superpower

“Good support drives retention and referrals. It’s our biggest advantage.”

Celebrate small wins

“The first client is the hardest. After that, it’s just building.”

Hold your goals loosely but your vision tightly

“Write goals in pencil. The vision stays the same, even if the plan changes.”

Together, these lessons turned a bookkeeping side hustle into a thriving SaaS business, proving that with the right focus, faith and platform, even the smallest start can become something extraordinary.

What’s next for Keepful

Now, Heidi’s expanding into the CFO space to help bookkeepers evolve into advisory professionals offering higher-value services.

With new partnerships, integrations and events planned for 2026, she’s focused on sustainable growth by adding 4–6 new clients per month while maintaining top-tier support.

“Our goal is freedom for bookkeepers and for ourselves,” she says. “Business should feel like breathing, not burnout.”
