Build an all-in-one client portal inside HighLevel

Are you still sending clients to five different links for training, community and affiliate payouts? Managing multiple platforms creates friction for your clients and adds unnecessary headache to your onboarding process. HighLevel lets you centralize every single resource into one secure hub. Instead of making clients jump between multiple tools, you can give them one destination where everything they need is available after a single login.

Simplify onboarding with the HighLevel client portal

Imagine you just onboarded a new client. Instead of emailing them separate links for training courses, community access, and affiliate tracking, you send them to one place. HighLevel streamlines client management by consolidating your entire deliverable ecosystem.

Here is how you can set up your HighLevel client portal in just a few quick steps:

1️⃣ Navigate to memberships: Inside your HighLevel sub-account, head over to Memberships on the bottom left navigation menu.

2️⃣ Build your course: Click on Courses, select Products, and then click Create New on the right side. You can import an existing course or start from scratch. Give it a title, add a description, and upload a custom thumbnail.

3️⃣ Set pricing and permissions: Choose whether your course is free or requires a recurring or one-time payment, then click Create Course.

4️⃣ Upload content: Customize your modules by editing or deleting pre-existing lessons with the pencil icon.

5️⃣ Create a community: Go to Communities, click Groups, and select Create a Community. Add your group name, description and custom branding before clicking Create Group.

6️⃣ Connect learning and members: Inside your group, go to Learning to attach your newly created course. You can also click Members to manually invite users by typing in their name and email.

Transform customer experience with the HighLevel client portal

Once invited, your clients receive an email to set their password and log in immediately. When they access the portal, they can easily join group discussions, access courses under the Learning tab and view upcoming events.

On the left navigation sidebar, clients can also view:

✔️ Invoices and estimates

✔️ Signed contracts

✔️ Shared documents and files

✔️ Upcoming appointments

✔️ Personal affiliate payout information

This centralized hub allows users to move smoothly between training and community support without re-logging or checking external links. Bringing all your assets together elevates your brand equity while saving you time.

Keep stakeholders updated with HighLevel custom object workflows

Communicating effectively with clients, contractors and team members just became significantly simpler. While traditional CRM automations focus purely on contact records, complex operational updates often revolve around specific projects, jobs or company assets. HighLevel custom object workflows allow you to automate cross-functional communication, ensuring everyone connected to an initiative stays informed automatically.

Reach every contact tied to a project using HighLevel email action

With the native email action inside HighLevel custom object workflows, you can automatically notify relevant contacts whenever a record is created or updated. Instead of sending manual updates or building intricate workaround sequences, your system delivers targeted emails directly to associated stakeholders based on real-time data changes.

1️⃣ Enable the email action feature in company and custom object workflows by navigating to settings and toggling it on under lab features.

2️⃣ Navigate to automation, click create workflow and select your target option, such as a company or a custom object like projects.

3️⃣ Configure your trigger based on your business process, such as project created or project changed, adding filters like budget thresholds or geographic locations if needed.

4️⃣ Click the plus icon to add the send email action to your workflow.

5️⃣ Choose your email recipients by selecting all associated contacts, the most recently associated contact or the earliest associated contact.

6️⃣ Refine your audience further using association labels to ensure only specific roles, such as clients or contractors, receive the message.

7️⃣ Personalize the email content by inserting custom object values like project budget, stage or timeline directly into the body text.

8️⃣ Save your action and publish the workflow to make your communication entirely hands-free.

Using HighLevel custom object workflows guarantees your entire team stays aligned, saves valuable administrative time and elevates the experience for every client you serve.
