From zero marketing skill to a 200-client agency: How Rebecca Sunnen Kallaus went from holistic health to running a HighLevel operations empire on word of mouth alone

Rebecca Sunnen Kallaus never trained in tech. Never trained in marketing. Her background is holistic health. Laser therapy specifically. She spent years teaching other practitioners how to use it, building courses, giving lectures, helping people heal.

Then she noticed something. She kept solving the same business problems for the holistic health providers around her, problems they couldn't see and she could. That was the first sign she was wired for something else.

"I realized I had a natural acumen for business," she says. "And that most holistic health providers do not."

Her first website was built for free by a friend from college on WordPress. When she didn't want to keep asking favors, she found ClickFunnels and tried building it herself. She launched. It broke. Everything broke.

Then she learned about HighLevel when she took on a seven-month operations overhaul for a flooring company in February of 2020.

She quickly became frustrated because she was convinced the software was still in beta. It wasn't. She just found the bugs nobody else had found yet.

That eye for the thing nobody else sees became the whole business.


The challenge: No marketing skill, a niche nobody else wanted and a business built entirely on trust

Rebecca didn't choose her market. Her first HighLevel client was a woman she barely knew, introduced through a mutual contact neither of them spoke to much again. That client was a psychotherapist about to launch a coaching business. Rebecca built her out on HighLevel from the pre-launch stage. By year two, that client was doing $2M a year and referring her own clients straight into Rebecca's agency.

"I fell into it," Rebecca says of her coaching niche. "It wasn't intentional."

But an agency that grows entirely through referral has no acquisition engine to fall back on when the wins stop compounding. Rebecca still had no marketing skill, no funnel, no paid ads and a client base of online coaches who were, by her own description, not very tech savvy and not flush with cash. It was, in her words, close to the hardest possible way to run a HighLevel agency.

There was a second problem underneath the first. In 2023, her HighLevel accounts were hit by fraud. $2,500 gone, no way to claw it back at the time. She ate the loss. It became part of the direct feedback that helped push HighLevel's own security changes forward, but it was a real cost paid by a business running on tight margins and word of mouth.

Growth without a repeatable acquisition system and without operational structure is fragile. Rebecca had built something real. She hadn't yet built something that couldn't collapse under its own weight.


The solution: Standardize everything that can be standardized, then build a five-engine operating system around it

Rebecca's answer wasn't to learn marketing. It was to make operations do the heavy lifting marketing usually does.

She built a proprietary snapshot for coaches with everything pre-loaded: pipelines mapped to the actual client journey, naming conventions that hold up at scale and an onboarding flow clients could drop into on day one. Clients she's onboarded have told her the value built into that snapshot would run $10,000 if built from scratch. She charges $199 a month for the whole thing, no setup fee, with a $297 a month add-on for AI.

Underneath the software, she built three brands under one parent company, Business Done Better:

  • CRM Done Better for the SaaS side

  • Team Done Better for fulfillment work sold in hours instead of fixed scopes (so scope creep becomes billable instead of a fight)

  • Operations Done Better for full-scale, done-with-you operational overhauls that start with a 90-minute, 45-point assessment call

Then she built the framework that ties it together. She calls it the Five Engine Operating System: revenue, brand, client success, operations and leadership, built in that order. The reason…

"If you're not making money, you have a nice hobby," Rebecca says.

No paid acquisition. No content engine. Just a snapshot built once and deployed to every new account, a pricing model that removes scope-creep arguments before they start, and referral relationships compounding on top of a product clients don't want to leave.


The result: 200 clients, a 25-person team and two of the most sought-after clients in the industry

Rebecca brought on her first team member in February of 2023. Three years later, her team has grown to 25 people, most of them on the fulfillment side, with dedicated leads on the SaaS, admin/creative and operations arms.

The agency now serves close to 200 active paying clients across CRM Done Better, Team Done Better and Operations Done Better combined, with monthly recurring SaaS revenue currently running just over $10,000 and growing, on top of project and fulfillment revenue that pushed the company's best combined month to roughly $42,000.

Two of those client relationships stand out. Rebecca now works with Founder's Club and School of Hard Knocks, two of the accounts she calls her dream clients.

No ad spend. No sales team. A snapshot built once, an operating system built to hold the weight of scale and a referral network built entirely on doing the work well enough that people talk.
